Maintenance Policy

Preventive schedule, wear-part responsibility, battery and motor treatment, body repairs, insurance claims and accident process.

This document is a draft template prepared for internal review. It must be examined, adapted and executed under the guidance of a qualified advocate practising in India, and stamped as required under the applicable State Stamp Act before it becomes binding.

1. Preventive schedule

  1. 1.1Every vehicle follows a kilometre-and-calendar based service schedule at an approved service partner.
  2. 1.2Service records are logged per registration number and visible to the partner in the portal.

2. Component responsibility

  1. 2.1Tyres: replaced on tread depth threshold; cost charged to the vehicle's operating account.
  2. 2.2Brake liners: inspected every service; replaced on wear limit.
  3. 2.3Suspension: inspected quarterly; bushings and shockers replaced on failure.
  4. 2.4Battery: covered by kit warranty where applicable; a monthly replacement reserve is maintained per vehicle.
  5. 2.5Motor and controller: warranty-first, then operating account.
  6. 2.6Body repairs: charged to the driver where negligence is established, else to the operating account or insurance.

3. Insurance claims and accident process

  1. 3.1Report the incident to the ops desk within 2 hours and to police where injury or third-party damage is involved.
  2. 3.2Photographs, FIR copy where applicable, and driver statement are collected the same day.
  3. 3.3GreenStrata files and follows the claim; the deductible is borne per the Driver Agreement.
  4. 3.4A replacement vehicle is provided where repair exceeds the defined turnaround, subject to fleet availability.

4. General

  1. 4.1Governing law: the laws of India. Courts at Bengaluru, Karnataka shall have exclusive jurisdiction, subject to the Dispute Resolution Policy.
  2. 4.2Notices shall be delivered by email to the addresses recorded in the Registration Form and by registered post for termination or settlement notices.
  3. 4.3No provision of this document creates an employment, partnership or agency relationship beyond what is expressly stated.
  4. 4.4If any clause is held unenforceable, the remainder survives unaffected.
  5. 4.5This document, together with the Registration Form and annexed schedules, constitutes the entire understanding between the parties.
